Job Description
Aptient is looking for an individual to join our small team in the role of Executive Assistant. You will be responsible for high-level support to three Senior Executives, two of whom are based in Australia and another in Europe, that sit across Business Development and Sales, Infrastructure & Operations and Delivery.
The Executive Assistant will help each executive in all areas of office and business planning administration. The position will report directly to the VP of Infrastructure Operations and will additionally support the CTO with general admin duties where needed as well as assisting on all travel and expense management for the team.
Administrative Support
- General diary management, scheduling of internal and external meetings
- Coordination of company and contractor travel (both domestic and international)
- Processing all purchase orders, invoices, and expenses
- Team offsite coordination – researching and arranging on and offsite location(s)
- Assist coordination both in and outside of Australia
- Work with the team to organise multi-country travel schedules, conferences and other events as required
- Manage distribution lists, organisational charts, and team business reporting for the team
General Team Support
- Communicate across all business levels, internal and external stakeholders on behalf of your executives
- Support special business projects that may arise throughout the year
- Proactively identify general administration gaps within the business and provide effective solutions
- Develop and maintain a high-level awareness of the business’ milestone and key activities
- Assist the onboarding process for new hires
Experience
- Demonstrated experience in a high-volume administrative role supporting mid-level senior management
- Strong Google Suite skills, and the ability to pick up internal systems quickly
- Exceptional interpersonal skills with the ability to leverage relationships, ideally across multi-cultural & multi-country environments
- Ability to maintain confidentiality and discretion in relation to corporate information
- An enthusiastic, passionate, and self-motivated worker and team player
